The AI receptionist market has filled up quickly. Most of the marketing sounds identical. Here is what actually matters when you are a tradie choosing one, based on what goes wrong in real deployments.
1. Australian voice and local numbers
An American accent on the phone immediately signals to a Perth customer that they are talking to a machine, or worse, an overseas call centre. Insist on a natural Australian voice and an Australian phone number that can either forward from or replace your existing line.
2. It has to understand your trade
Generic AI receptionists ask generic questions. A plumbing AI should know the difference between a blocked drain, a burst pipe and a hot water failure, and ask the right follow-up for each. If the setup process does not involve teaching it your specific job types, service areas and pricing rules, it will sound competent and qualify nothing useful.
3. Emergency routing
This is where cheap solutions fail tradies. A gas leak and a dripping tap cannot be treated the same way. Your AI needs rules that escalate genuine emergencies to your mobile immediately while booking routine work into next week. Ask specifically how escalation is configured.
4. It must book, not just message
If the AI takes a message and emails it to you, you have bought an expensive answering service. The point is that the job gets booked into your calendar while the customer is still on the phone and still motivated.
5. Integration with what you already run
If you use ServiceM8, SimPro, Xero or a Google Calendar, the AI should write to them. Otherwise you are re-keying every booking, which defeats the purpose.
6. Honest, flat pricing
Per-minute pricing gets expensive fast during busy periods — exactly when you need it most. Look for flat monthly pricing so a storm week does not produce a surprise bill. And be wary of anyone who will not tell you the price before a sales call.
7. No lock-in contract
If the product works, you will stay. Twelve-month lock-ins usually signal a provider who knows customers leave.
8. Someone local you can actually reach
When your AI mishandles a call — and it will occasionally — you want to ring someone in your timezone who can fix it that day, not lodge a ticket with an overseas support queue.
